How do I receive an application form? A: Applications can be obtained directly from qualifying camps. Please contact the camp you wish your child to attend directly and request a Bursary Fund Grant Application Form. If the camp is not among the qualified camps, please contact Drew Brown (drewbrown70@gmail.com) to discuss application process for new camps.
What is the application process? A: Once you have received an application form from the camp you wish to attend, please complete it in full and, along with the required additional documentation, submit the application directly to the Bursary Fund by email to the address on the form or email to Drew Brown (drewbrown70@gmail.com). Please do not send your application by registered mail. We cannot consider incomplete applications, so be sure to complete the form in its entirety and be sure to submit all other requested documentation. In particular, information on family income must be submitted each year. The deadline for applications is Feb 28th. Any applications received after this date will be considered to the best of our ability, taking number of applications and funds available into consideration.
Tell me a little more about the additional information I must submit with my application form.
Along with your completed application form, you must submit the following materials:
a) Letters of Reference: if this is your first time applying for this grant, please submit two (2) letters of reference (e.g. teacher, coach, community leader, friend – NO RELATIVES). If you are a returning recipient (i.e. you have previously received a grant from us), you do NOT need to submit any references with your application form.
b) Income Documents: ALL applicants (whether new or returning) must submit a copy of the most recent income tax return or T4 slip as proof of income for both parents/guardians (this, and all other submitted information will remain confidential).
Who is eligible to receive funding? A: We aim to support campers with demonstrated financial need who are at least 11 years old in the current camp year and have shown leadership qualities. While the definition of “financial need” can vary greatly, we generally give priority to campers with a family income of less than $50,000. We do not fund new applicants over 16 years of age.
Once you receive a grant from us, we endeavour to support you for all your remaining years as a camper, as long as you continue to benefit from the positive camp environment and your household income continues to demonstrate financial need.
Returning campers must continue to meet the above eligibility requirements. In addition, we will review your Camper Report from your camp each year. In reviewing camper reports, we are looking for assurances the camper fit in appropriately at the camp and seemed to benefit from the camp experience.
What is the amount of the grant? What is the amount of the grant?
Will it cover all my camp-related expenses?
Our aim is to cover basic camp fees for one month of camp. All for-profit camps affiliated with the TSCBF contribute to the camper’s bursary by offering a reduced camp fee for those receiving a Bursary Fund Grant. Parents are responsible for the taxes on the camp fee and any portion not covered by the grant.
Supplemental Higher Camp Fees: Certain campers may wish to apply for more than one month at camp and/or for special outings (usually canoe trips) that involve a cost over and above the participating camp's regular monthly fee. If the camper is approved to receive a Bursary Fund Grant, the grant amount will be equal to, at most, the reduced one month camp fee not including taxes; this means the family is responsible for covering all additional costs beyond the reduced one month camp fee.
Additional Camp Fees: In addition, there will be some other fees over and above the basic camp fees that are NOT covered by the grant and that are the responsibility of the family. These additional costs include transportation to and from camp, tuck, special equipment, special canoe trip fees, and taxes (HST, GST, PST) on the camp fee. Parents are responsible for paying these additional fees directly to the camp.
What is the amount of the parental contribution?
Families are asked to make a contribution toward the camp fee. For parents in the greatest need, the amount of the contribution will be relatively modest. As the parental income increases, the proportional expected contribution from the parent increases. Parents are asked to indicate a realistic amount they know they can contribute in the “parental contribution” section on the application form.
Please note: parental contributions must be paid prior to the start of camp. We are unable to consider an application for next year’s season if this year’s parental contribution remains unpaid.
I’m confused about how much we will owe to the camp? A: Let’s use the example of a camper attending Camp X, which has a regular fee of $2,400 for one month at camp. The camp fee is subject to 13% HST ($312), so the total camp fee is $2712.
As part of the three-way contribution, this fee will be covered by:
a) The Camp (who will offer a 30% discount on the regular camp fee)
b) The Bursary Fund (who will provide a Bursary Fund Grant based on the application process)
c) The Parents (who will cover the balance of the fee)
Sample breakdown of typical camper fees and allocation:
$2,712.00 total camp fee
The camp offers a 30% discount on the regular camp fee, so that brings the camp fee down from $2,400 to $1,580 (the camp will cover the cost of the 30% discount, which is $720).
If we assume The Bursary Fund provides a grant of $1,580. This amount will be forwarded directly to the camp on behalf of the camper. The parents is responsible for paying $412* ($100 parental contribution plus $312 in taxes – the taxes are based on the camp fee before the 30% discount) which is payable directly to the camp.
The Bursary Fund will cover the remaining balance, by providing a grant of $1580. This amount will be forwarded directly to the camp on behalf of the camper.
* Please note: the family is also responsible for the cost of any additional fees requested by the camp (such as tuck, special equipment, trip fees, etc.) The family will forward these fees directly to the camp. The family will also be responsible for transportation of their child to and from camp.
Do I submit my “additional fees” to the Bursary Fund or directly to the camp? A: The following fees will be collected from you directly by the camp:
a) Taxes on the regular camp fee
b) All “additional fees” such as tuck, special equipment, special trips, etc.
Do I submit my parental contribution to the Bursary Fund or directly to the camp?
Parental contributions should be sent directly to the camp. The Bursary Fund will forward your grant directly to the camp on your behalf. All other costs above the amount of the grant will be collected from you directly by the camp (including parental contribution, taxes, and additional fees).
2 weeks instead of a month, Can I still apply for a grant? A: Yes, you can. Generally, we prefer to see campers attending for a full month, as we believe that’s the optimal amount of time to really benefit from the “full” camp experience. However, we will consider applications from campers wishing to attend two-week camp as well. Funding will work similarly to how it works for one-month camp, but will be based on a reduced two-week camp fee offered by the camp instead of the reduced one-month camp fee. Parents are still responsible for taxes and all other additional charges by the camp above the Bursary Fund Grant; parents are still asked to make a parental contribution.
Will I receive confirmation that my application has been received by the Bursary Fund? A: Yes, we will contact parents when applications are received either by phone or by email. All parents will be contacted by the first week of March to acknowledge receipt of application forms and to review the application process.
When will I find out whether or not I have received a grant? A: The Selection Committee generally meets in March to review applications. As soon as the review process is complete, the Board of Directors will approve the list of campers for that year and you will be contacted by a Committee member with confirmation regarding whether or not you have received a Bursary Fund Grant (by the end of April).
I received a grant last year – do I need to apply again this year? A: Yes, if you wish to receive a Bursary Fund Grant to attend camp this year, you need to submit a new application form, including supporting documents showing family income. However, you do NOT need to submit letters of reference this time.
I have submitted my Bursary Fund Grant Application Form – do I need to submit a separate application form to attend camp? A: Yes! Please contact the camp directly to inquire about their application process.
I’m concerned about the privacy of my financial information – how do you protect that information?
The financial information is only shared with the Selection Committee and is secured both electronically and in physical form for 2 years, at which point it is destroyed and erased.
I am interested in attending a camp not listed in the qualifying camps section – is this possible? A: We support any camp that is an accredited member of the Ontario Camping Association or the Canadian Camping Association and is willing to contribute to the Bursary Fund by offering a satisfactory fee reduction. Please ask the camp to contact Drew Brown at the Taylor Statten Camping Bursary Fund to discuss how the bursary process works.
I am a parent wishing to send all 3 of my children to camp. May I apply for grants for all 3 children? A: Yes, you are welcome to do so. Please complete an application form along with the required additional documentation for each child.
Do you have further questions not addressed above? A: For camp-related questions, please contact the camp you are wishing to send your child to directly.
